Room Change Request
The Office of the Bantam Network (Housing & Residence Life) recognizes that conflicts between roommates can arise. Should residents wish to separate due to these conflicts, they may apply for a room change. Many issues can often be resolved through open communication and mediation. There are space limitations, so a room change cannot be guaranteed. Residents who wish to apply for a room change must adhere to the procedures outlined below.
- Residents are required to schedule an initial meeting with their Residential Learning Coordinator (RLC) at the Bantam Network Office. During this meeting, the subsequent steps will be outlined, and it will be assessed whether mediation is suitable. - Unless stated otherwise in the initial meeting with an RLC, room changes will only be permitted following a mediation session that includes all parties involved (this is on a case-by-case basis).
It is crucial to communicate about any issues that arise. We do not permit students to relocate without first discussing matters with their RLC and if applicable, the other roommate(s) involved (case-by-case). All efforts should be made to resolve conflicts with the highest level of respect and compassion.
If a mediation occurs, the RLC will exercise their discretion to determine if a room change is the appropriate next step or if the involved parties are willing to reach a resolution with a new set of mutual expectations.
If a student would like to move ahead with a room change, the RLC will present the student with various options. Once a room is identified and if it is currently occupied (doubles, quads, etc.), the RLC will arrange an informal meeting with the current occupants of that space, allowing everyone to meet. Students are permitted to look at various different options and will let the RLC know how they would like to proceed.
An approval email will be sent from the RLC to both the student moving and the occupants of the new room (if applicable), as well as the old and new RAs.
Residents are given 72 hours to finalize all room changes and to sign a new room condition report. After completing the move, they must inform both their old and new RLC (if applicable) via email.
Important Points to Note:
- Residents may request room reassignments at any time; however, these will NOT occur during the first two weeks of the semester.
- Students with medical needs will be given priority.
- Individual students cannot move into a completely vacant multiple-occupancy room.
- Room changes cannot be made based on race, color, religion, national origin, ancestry, sexual orientation, or physical ability.
