Exchange brings together email, calendar, contacts, and tasks in one place and works seamlessly with Microsoft Office applications.<\/p>\n<h2>Accessing Email<\/h2>\n<p>You can access your Trinity email online at <a href=\"https:\/\/outlook.office365.com\">https:\/\/outlook.office365.com<\/a><\/p>\n<p>Instructions for <a href=\"https:\/\/www.trincoll.edu\/lits\/help-support\/software\/#email\">setting up your email Outlook client<\/a> are also available.<\/p>\n<h2>Maintaining Your Exchange Account<\/h2>\n<p>Basic account hygiene helps keep email running smoothly and protects both you and the institution.<\/p>\n<ul>\n<li>Do not open email attachments you are not expecting. Delete them immediately.<\/li>\n<li>Monitor your mailbox quota. Plain text emails use very little space, but attachments such as photos and documents can quickly add up.<\/li>\n<li>Save important attachments to OneDrive or another approved storage location.<\/li>\n<li>Your Sent Items folder counts toward your quota. Periodically delete messages you no longer need.<\/li>\n<\/ul>\n<h2>Sending Limits and Responsible Email Use<\/h2>\n<p>Whether you are emailing a few colleagues or communicating with a larger campus audience, it is important to understand Microsoft\u2019s sending limits and best practices.<\/p>\n<p>Microsoft enforces strict bulk\u2011sending limits to reduce spam, phishing, and account abuse across all organizations, including Trinity College.<\/p>\n<h3>What Counts as Bulk Email<\/h3>\n<p>Bulk email refers to sending a single message to a large number of recipients at one time. This includes messages sent using To, Cc, or Bcc fields.<\/p>\n<p>Sending bulk email directly from Outlook is strongly discouraged.<\/p>\n<h2>Microsoft 365 Sending Limits<\/h2>\n<p>Microsoft 365 email accounts have built\u2011in protections that limit how many recipients you can email within 24 hours.<\/p>\n<ul>\n<li><strong>Shared mailboxes<\/strong><br \/>\nWhen sending from a shared mailbox, the recipient limit applies to the individual sending the message, not to the shared mailbox address itself.<\/li>\n<li><strong>Calendar invitations<\/strong><br \/>\nCalendar invites sent from Outlook also count toward your sending limit.<\/li>\n<\/ul>\n<h2>What Happens If You Exceed the Limit<\/h2>\n<p>If you attempt to email more than the allowed number of recipients:<\/p>\n<ul>\n<li>Your Outlook account may be temporarily locked for up to 24 hours.<\/li>\n<li>The restriction is enforced directly by Microsoft.<\/li>\n<li>In most cases, this restriction is cleared within 24 hours, but we recommend you contact the help desk.<\/li>\n<\/ul>\n<h2>Best Practices for Campus\u2011Wide Communication<\/h2>\n<p>For messages that need to reach a large audience, do not send them directly from your personal Outlook mailbox.<\/p>\n<p><strong>Instead, use one of these approved options:<\/strong><\/p>\n<ul>\n<li>Distribution lists managed by LITS<\/li>\n<li>Microsoft Teams channels<\/li>\n<li>Microsoft 365 Groups<\/li>\n<\/ul>\n<h2>Requesting an Exception<\/h2>\n<p>If there is a valid business reason that cannot be met using approved communication tools, you may request a temporary increase to your sending limit.<\/p>\n<p>These requests are intended to be rare and should only be used when a third\u2011party bulk email service is not appropriate.<\/p>\n<h2>Why These Limits Matter<\/h2>\n<p>Sending limits help protect Trinity\u2019s email systems from being flagged as spam and improve overall message delivery.<\/p>\n<p>They also:<\/p>\n<ul>\n<li>Reduce the impact of compromised accounts<\/li>\n<li>Protect the campus community from phishing campaigns<\/li>\n<li>Help maintain trust in Trinity email communications<\/li>\n<\/ul>\n<h2>Preventing Spam and Phishing<\/h2>\n<p>Spam is unsolicited commercial email.<br \/>\nPhishing is a fraudulent attempt to obtain sensitive information by pretending to be a trusted source.<\/p>\n<p>To protect yourself:<\/p>\n<ul>\n<li>Never respond to spam. It confirms that your address is valid and increases the likelihood of future attempts.<\/li>\n<li>Report spam and phishing messages directly through Outlook with the <a href=\"https:\/\/www.trincoll.edu\/lits\/technology\/tech-support\/email\/reportspam\/report-phishing-emails\/\">Phish Alert Button<\/a>.<\/li>\n<li><em><strong>LITS will never ask you to email your password or to provide your MFA code or information.<\/strong><\/em><\/li>\n<li>Be cautious about sharing your email address and understand how it will be used.<\/li>\n<\/ul>\n<p>If you receive a suspicious message and are unsure, submit it using the <a href=\"https:\/\/www.trincoll.edu\/lits\/technology\/tech-support\/email\/reportspam\/report-phishing-emails\/\">Phish Alert Button<\/a> or forward the message to <a href=\"mailto:phshing@trincoll.edu\">phshing@trincoll.edu<\/a>.<\/p>\n<p>Think you have what it takes?
