A GUIDE TO WEBMAIL

INTRODUCTION:

Students, faculty, and staff who want to conveniently check their email when away from their personal computers can use WebMail. This is a very convenient way of checking your e-mail from any computer around the world connected to the Internet. It is not necessary to have an e-mail reader program installed on the computer in order to check your mail using WebMail.

Although it is not required to have an e-mail reader program to access e-mail, people on campus are strongly encouraged to install an e-mail program on their personal computer, such as Microsoft Outlook for Windows or Mail or Entourage for the Mac. This will allow the use of many other convenient options that are not offered in WebMail.

It is important to remember that the space on the server where your e-mails are stored is limited, so you should always keep track of the number and size of your e-mails and attachments.

GETTING TO  WebMail: 

To get to Webmail, go to http://webmail.trincoll.edu.

Once you type in the above location on your address bar of the web browser, you will be greeted by the following screen:

Enter your Trinity User ID and password and click the "Sign In" button.

You will be taken to the main screen of the WebMail program shown below.

The main screen consists of three parts: the shortcut bar (left side), the toolbar (top) and content area (middle of the screen). The shortcut bar is along the left side. The shortcuts represents the links to different sections of the WebMail system. You can notice that there are three sections (Inbox, Calendar and Contacts), the Options shortcut and the Log Off shortcut. When you log in, by default the WebMail will open the Inbox section. The toolbar and it's contents will change depending on the section of WebMail you are currently in.

INBOX
By default you will be placed in the Inbox and in the content area you will see the list of e-mail messages. The new e-mail messages will be in bold and read emails will be displayed normally. To open the email from the list you can double click on the mail you wish to open. You can notice that the toolbar (on the top) contains the tools for dealing with the email messages.

When you move the mouse over any button on the toolbar and hold it there for couple of seconds a little yellow note will open saying what function that button performs. You can notice the following functions (from left to right):

  • New (if you click on the new button it will create the new item depending on the section of the WebMail you are in. For example, if you are in the Inbox section it will create a new email. You can also click on down arrow and select the specific item that you want to create.
  • Move/Copy - moves or copies the email to selected folder
  • Delete -moves the email to Deleted Items folder
  • Reply - reply to the sender of current email
  • Reply to all - reply to all people who the original email was sent to)
  • Forward - forwards the selected email
  • Show/Hide preview pane will display the preview of the selected email
  • Check for new messages (check if you got new messages while you had WebMail opened),
  • Search - searches the inbox for a given keyword/
  • Address Book - opens the global address book which contains every person in the Trinity directory
  • Help - brings up a menu explaining all of the features of Web Access, if you have a question this is the best place to start
     

CALENDAR
The calendar is very similar to the calendar in Microsoft Outlook.

Using the toolbar at the top of the page you can perform following operations (from left to right): create new appointment, check for new mail, search the calendar, delete items from calendar, view reminders, check the global address book. Other commands are for the layout of the calendar which can be: calendar for today, daily view of calendar, weekly view of calendar and monthly view of calendar.

CONTACTS
The contacts section of the WebMail contain the personal contacts that you want to save.

It works very similarly as the address book. To add new contacts use the New button from the toolbar at the top of the page. To check or edit any contact that is already there just double click on the contact.

SETTINGS IN WEBMAIL
In the shortcut bar there is a link to the settings section of the WebMail. If you click on the settings icon the following screen will open:

Many of the settings in this section relate to the appearance of your WebMail. There is also an Out of Office Assistant you can enable that will automatically reply to anyone sending you e-mail letting them know you are not available. When you perform any change in your settings be sure you have to click Save and Close button on the top of the page in order for changes to take effect.

Another tool you may find usefule is the Recover Deleted Items option. Keep in mind that recovery of the deleted items is not very reliable and if you have already deleted your items from the Deleted Items Folder you might not be able to recover them any more.

CREATING A NEW E-MAIL MESSAGE
When you click on the New button and create new email message the following window will open:

In the toolbar there are following options (from left to right): Send, Save (message is saved to Drafts folder), Print, Attachments (explained below), Check the email addresses to which you are sending an email (if they are in the global address book or in your contacts), Set the priority of the email, and Options (very limited options for email messages).

Below the toolbar there is a text formatting bar which is the standard Microsoft Office text formatting utility.
There are three fields to enter the email addresses: TO... (send regular email to these addresses), CC... (carbon copy email to these addresses) and BCC... (blind carbon copy email to these addresses).
To attach the files click on the Attach button and following window will open:

To add attachment first click on the Browse button which will open the standard directory list where you can search and select the file you want to attach to the email. When you select the file click OK in the directory list window and then click Attach button. You will notice that the file you have attached is in the Current File Attachments list. When you are done with the attachments click the Close button which will return you to the email message window.

MAKE SURE YOU LOG OFF
In the Shortcut bar there is a Log Off icon. Make sure that when you are done working in the WebMail you use this icon to log off. This is especially important if you are accessing your mail from a public computer. It might happen that if you do not log off someone else will be able to access you emails.
