Policies
The
Audio Visual Department has developed the policies below to
effectively serve faculty, students, staff, and outside
organizations in facilities across the campus.

Borrowing
Equipment
Students
and faculty who have completed a workshop or demonstrated
sufficient knowledge may borrow audio visual equipment. Audio
recorders, video cameras, and digital still cameras are examples
of the type of equipment available for sign out. For a list of
audio visual equipment available for loan, access the AV
Equipment Available for Loan page. Equipment is available on a
first come, first served basis, and should be booked in advance.
Gear that is not picked up at the arranged time will be lent out
to those on a waiting list. Information on whether a piece of
equipment is available for loan may be obtained by contacting the
Audio Visual Department.
It is understood that all equipment loans are made for the support
of appropriate college coursework or business. Audio Visual
Department equipment will not be used for unlawful purposes.
Individuals who sign out equipment are responsible for it during
the loan period, and all borrowed equipment must be returned at
the agreed time (generally, within 24 hours), and in good working
order. The Audio Visual Department must be informed of any
equipment malfunctions as soon as they occur. We reserve the right
to charge a lender for lost, stolen or broken equipment..
Failure To Return Borrowed Equipment
The Audio Visual Department may charge student accounts for
overdue equipment. Students who fail to return equipment by the
due date are reminded, as a courtesy, with a notice (either
written or by phone) the next day. Late charges start accruing at
the following rate: $10.00 per day for the first 7 days, $20.00
per day thereafter. If the equipment has not been returned after
15 days the borrower will be billed as follows: replacement cost
of the equipment (a minimum of $50.00) and a $35.00 non-refundable
processing fee. The actual replacement cost can be substantial for
certain audio visual equipment. If the lost item is returned
within one month of payment, the replacement fee will be refunded,
minus accrued fines and the processing fee. All fines may be paid
at the Audio Visual Department office. Any outstanding fines will
be sent to the Student Accounts Office, where equipment
replacement and processing fees will be billed.
Loss Of Borrowing Privileges
For student borrowers, loss of borrowing privileges occurs when a
recalled item is overdue, or the student has accrued $100.00 in
fines/fees.
In addition, any student using equipment borrowed from the Audio
Visual Department for an unlawful purpose will lose borrowing
privileges.
Use Of Audio Visual Production Facilities
Students, faculty and staff who have completed a workshop or
demonstrated sufficient knowledge may utilize Audio Visual
production facilities. A minimum of one-week notice is necessary
to schedule time on video or audio production equipment.
Production facilities located in the Audio Visual Department
office or production center are available during regular business
hours, or by special arrangement.
Copyright
The Audio Visual Department will not duplicate or assist in the
duplication of copyrighted material. In the United States, almost
everything created privately and originally after April 1, 1989 is
copyrighted and protected whether it has a notice or not. You
should assume that other people's works are copyrighted unless you
know otherwise. Copyright law and fair use issues are complex and

Consent For Video and Audio Taping
It is the responsibility of event sponsors to secure permission
for audio or video taping. Many guest speakers and performers have
contracts that do not allow recording, so prior clearance is
essential. Audio Visual Department policy requires that any party
requesting videotaping of an event notify the subject of the
taping well in advance. The Audio Visual Department will not
record an event without a written or verbal release.
Faculty and students planning projects that involve the collection
of information from human participants, either on or off campus,
should be aware that all such activities must be reviewed by the Trinity
Institutional Review Board.
When borrowing audio visual recording equipment, observe and
follow posted restrictions on videotaping in public and private
locations. Acquire proper consent from interview subjects before
recording. Photographing or videotaping what is visible in public
view (such as a road, sidewalk or balcony) is, generally speaking,
acceptable without consent. Additional restrictions exist for
audio taping.
Hiding cameras, eavesdropping and wiretapping are inappropriate
use of borrowed audio visual equipment and are a violation of
department policy. Violators will be subject to disciplinary
action and may be in violation of state or federal laws. If there
is any doubt as to the appropriateness of recording in a
particular instance, it is good policy to refrain from taping.

Off Campus Events
As a general rule, the Audio Visual Department Does not provide
support at off campus events. This includes functions at fraternal
organizations. Contact the Audio Visual Department for information
on reliable commercial vendors.
