Individual Tent Rental Information


Post-Commencement Celebration Agreement and Guidelines
Number of tents available is limited.

 

Deadline: Thursday, April 8, 2010 at 4:30 p.m.

 

 

1. Print and carefully review the Post-Commencement Celebration Agreement and Guidelines.

 

2. Complete page 2 of the Post-Commencement Celebration Agreement and Guidelines and have signed by both the student host AND the parent or guardian host. Be sure to include both student and parent e-mail addresses for confirmation and tent rental information. Please read the agreement and guidelines fully and retain a copy of for your files. Please note that you do not need to indicate tent sizes or chair and table preferences on the agreement form. You make these arrangements directly with the tent rental company, who will assist you in determining the appropriate sizes and selections for your gathering.

 

3. Prior to the use of any facility on the Trinity College campus, the host must furnish a Certificate of Insurance binder for bodily injury and property damage coverage protecting both the College and the host. The coverage, with the minimum limit of one million dollars per occurrence, shall specifically name Trinity College as an additional insured. If alcohol is to be served at the reception, host liquor liability insurance must also be included in the policy. A policy may be purchased by visiting www.urmia.bene-marc.com/index.php.

4. Return the signed Post-Commencement Celebration Agreement and Guidelines, along with a $325 check payable to “Trinity College”, and the Certificate of Insurance to Lisa Sagan, Office of College Advancement, Trinity Commons 225, Trinity College, 300 Summit Street, Hartford, CT 06106 by Thursday, April 8, 2010. Please note: in order to process your request one contact (parent or student host) must be responsible for the signed 2010 Post-Commencement Celebration Agreement and Guidelines, Certificate of Insurance, and check for $325 made payable to Trinity College.

 

5. Check your e-mail for a confirmation that your signed agreement, Certificate of Insurance, and check have been received. This confirmation e-mail will provide the approved tent rental company contact information.  At this point, you should contact the company and make the appropriate arrangements for your gathering. Please note: it is the host’s responsibility to communicate the guidelines and tent location to their caterer the week of May 17.
